n8n workflow automation means using n8n, a visual workflow tool, to connect your apps and let them pass work to each other without manual effort. You draw a flow on a canvas: something happens (a form is filled), n8n does a few steps (save the lead, notify your team, send a message), and the whole thing runs by itself. You can start without writing code, you can run it on your own server or on n8n's hosted cloud, and it suits marketers and small teams in India who are tired of copying data between tools.

What is n8n?
n8n is a workflow automation platform. Each workflow is a chain of blocks called nodes, and every node does one job. According to the n8n documentation, a node can bring data in, process it, send it out, or start the workflow and control its logic. You join nodes with lines, and data flows from one to the next.
Triggers and action nodes
Two node types matter most when you begin:
- Trigger nodes start a workflow when something happens. The n8n docs say a production workflow needs at least one trigger, and triggers are marked with a bolt icon.
- Action nodes do the work: change data, update a sheet, send a message, or call another system.
Common triggers include a Webhook (an address that other tools can send data to, useful when an app has no dedicated n8n trigger) and a Schedule Trigger (runs at set times, like a cron job, for example every morning). Most of your first workflows will use one of these two.
Built-in integrations and the HTTP Request node
n8n ships with a library of built-in integrations for popular apps. If a service has no ready node, or a node lacks an action you need, the HTTP Request node lets you call that service's API directly. The docs also describe community-made nodes that you can install. For a marketer, this means you are rarely blocked by a missing connector.
AI inside workflows
n8n also supports AI steps. Its AI Agent node lets you attach a chat model and one or more tools, and the agent decides which tool to use to finish a task. In practice you might let an AI step read an incoming enquiry, classify it, and draft a reply that a person approves before it goes out. This is the area that "AI workflow automation" training usually focuses on.
Self-hosted vs cloud: what is the difference?
You can run n8n in two broad ways.
Self-hosted. You run n8n on infrastructure you control. The hosting docs list options such as Docker, Docker Compose, and major cloud providers like AWS, Azure, Google Cloud, DigitalOcean and Hetzner. Without a licence key you get the free Community edition. You are responsible for setup, backups, updates and security, so this suits people who are comfortable with servers or have a developer to help.
n8n Cloud. n8n hosts it for you, so there is nothing to install or maintain. You pay a subscription instead.
Licensing and pricing in plain words
- Licence. n8n's source code is published under the Sustainable Use License, a source-available licence rather than a traditional open-source one. In simple terms, it lets you use and modify the software for your own internal business purposes or for non-commercial or personal use, and it limits sharing the software commercially. Some enterprise files need a separate licence. Read the licence yourself before you build a paid product on top of n8n, and take legal advice if your plan involves reselling it.
- Pricing model. On its pricing page, n8n says it charges by monthly workflow executions, regardless of how complex a workflow is. One execution is one full run of a workflow, however many steps it has. This differs from tools that count every step as a billable task.
- Plans. n8n lists tiers from a Starter plan up to Business and Enterprise, with prices shown in euros and discounts for annual billing. Plans, limits and prices change, so check the live pricing page before you decide.
Beginner example: capture a lead, save it, follow up
First workflow you can build in an afternoon. No code needed.
Here is a first workflow you can build in an afternoon. It needs no code. Imagine a coaching institute, a clinic or a D2C brand with a website enquiry form.
Goal: when someone submits the form, save the lead in a Google Sheet that works as a simple CRM, alert your team, and send the lead a follow-up.
Step 1: Add the trigger
Add a Webhook node. n8n gives you a test URL and a production URL. Paste the URL into your form tool or website form so every submission is sent to n8n. Submit a test entry so n8n can see the fields (name, phone, email, interest).
Step 2: Tidy the data
Add an Edit Fields (Set) node. Keep only the fields you need and give them clean names. If phone numbers arrive with spaces or without the country code, fix that here, because the WhatsApp step needs a correct number.
Step 3: Save the lead to your CRM sheet
Add a Google Sheets node and choose the action to add a row. According to the n8n docs, this node can add rows, update rows, or update a matching row and add one if none exists. For a lead list, adding a row is enough; use the "update or add" option if you want to avoid duplicate leads from the same phone number. Map each form field to a column and add a "Status" column that starts as "New".
Step 4: Send a follow-up
Choose one or both:
- WhatsApp. n8n has a WhatsApp Business Cloud node that can send messages and pre-approved message templates. For first contact with a new lead, WhatsApp generally requires an approved template, so create one in your WhatsApp Business account first. You will also need a WhatsApp Business account connected through Meta, and you must only message people who have given consent.
- Email. Add an email node (for example Gmail or a standard SMTP email node) and send a short, friendly confirmation.
Step 5: Alert your team
Add a node that emails or messages your sales lead with the lead's name, phone number and interest.
Step 6: Test, then switch it on
Run a few test submissions and check the sheet, message and alert. Then activate (publish) the workflow so it runs on the production URL, and review failed runs in the execution history.
How to improve it later
Add a Schedule Trigger that checks the sheet each morning for leads still marked "New", or an AI step that classifies each enquiry.
What an n8n automation course should teach
If you are searching for an n8n automation course, an AI workflow automation course or a WhatsApp automation course in Delhi, check that the training covers more than screen tours. A useful course should include:
- Triggers, nodes, data mapping and error handling.
- Connecting forms, sheets, email and CRMs.
- WhatsApp automation basics: templates, consent and sensible message frequency.
- AI steps: classification, drafting and human approval.
- Hosting choices: when to use cloud and when to self-host.
- Real projects for real businesses, not only demo exercises.

FAQ
Is n8n free to use?
n8n offers a free self-hosted Community edition, and you pay for your own server. The hosted n8n Cloud and the higher tiers are paid plans based on monthly executions. Check n8n's pricing page for current plans, and read the Sustainable Use License if you plan a commercial use beyond your own business.
Do I need coding skills to learn n8n?
No. You can build useful workflows by connecting nodes visually. Code is optional and helps with advanced cases, but understanding data fields, conditions and app connections matters more at the start.
Can n8n send WhatsApp messages?
Yes. n8n has a WhatsApp Business Cloud node that can send messages and templates, among other actions. You need a WhatsApp Business setup through Meta, approved templates for first contact, and consent from the people you message.
How long does it take to learn n8n workflow automation?
You can build a simple lead workflow within a day or two. Becoming confident with error handling, AI steps and client-ready workflows takes weeks of guided practice, which is why structured training with feedback helps.
